Job Description: MIS & S&D Systems Supervisor (Karachi — FMCG Distribution)

Location: Karachi, FB Industrial Area Karachi.

Department: Sales Operations / IT

Reports to: Operations Manager / Head of Sales

Role Summary

Hands-on supervisor to lead data operators and keep our Sales & Distribution (S&D) and accounting systems running smoothly. No software development—this role focuses on user support, data quality, master data, and timely MIS packs for Sales, Finance, and Logistics.

Key Responsibilities

Team & Process Management

  • Lead and schedule 4–10 data operators; enforce daily checklists and SLAs. ( Service Level Agreement).
  • Train team on SOPs for invoice posting, GRNs, returns/claims, and route/beat closures.
  • Monitor workload, clear backlogs, and handle escalations.

Systems & User Support (No Coding)

  • Administer S&D and accounting tools (user setup, roles/permissions, password resets).
  • Coordinate with vendors/IT for fixes, patches, handheld sync issues, and small config changes.
  • Maintain master data: SKUs, price lists, discounts, customers, routes/territories, salesmen/DSRs.
  • Run daily/weekly jobs: imports/exports, handheld/van-sales sync, backups, and log reviews.
  • First-line helpdesk for branch/warehouse, sales office, and finance users.

MIS & Routine Reporting (Karachi Focus)

  • Publish daily sales
  • Collection & credit control: outstanding/aging by distributor/outlet, credit limit breaches, PDC tracking.
  • Inventory & logistics: stock aging, near-expiry, slow/fast movers, warehouse vs. GL checks.
  • Align S&D data with accounting ledgers: sales vs. dispatch vs. collection, inventory vs. GL.

Data Quality & Compliance

  • Enforce naming conventions, version control, exception logs, and audit trails.
  • Validate tax invoice fields and basic compliance checks (NTN/STRN present, rates applied).
  • Support internal/external audits with documentation and data extracts.

Must-Have Skills & Experience

  • 3–6 years in MIS/data operations within FMCG distribution or trading (Karachi experience preferred).
  • Working knowledge of S&D/DMS/van sales tools (e.g., Sales & route apps/handhelds) and accounting/ERP (SAP B1, Microsoft Dynamics, QuickBooks, Tally, or similar).
  • Excel (VLOOKUP/XLOOKUP, Pivot Tables, basic Power Query); ability to run prebuilt SQL/BI queries (no development).
  • Understanding of order-to-cash flow, trade promotions/discounts, claims, returns, and inventory movements.
  • Strong people management, documentation, and cross-function coordination.

  • Exposure to secondary sales reconciliation (sell-in vs. sell-out), modern trade portals, and distributor management.
