About this Role:

This Executive Assistant position is a vital component of our executive team, ensuring seamless day-to-day operations.

Key Responsibilities:

  1. Calendar Management: Coordinate and manage schedules for senior executives, including scheduling meetings, appointments, and travel arrangements.
  2. Communication: Handle incoming and outgoing communications on behalf of the executives, including emails, phone calls, and written correspondence.
  3. Meeting Coordination: Organize and prepare for meetings, including booking venues, preparing agendas, and taking minutes.
  4. Documentation: Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
  5. Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, and itineraries.
  6. Confidentiality: Maintain strict confidentiality and discretion with all sensitive information and communications.
  7. Office Management: Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
  8. Support Projects: Provide support on special projects and initiatives as required by the executive team.
  9. Relationship Management: Build and maintain strong relationships with internal and external stakeholders.
  10. Internal Communication: Manage incoming and outgoing calls via Zoom.

Qualifications and Skills:

  1. Experience: Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
  2. Education: Relevant diploma or degree in business administration or a related field is preferred.
  3. Skills: Excellent organizational and time-management skills, strong written and verbal communication abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Must speak fluent English.
  4. Attributes: Proactive, detail-oriented, adaptable, and able to work independently as well as part of a team.
  5. Professionalism: High level of professionalism and the ability to handle sensitive and confidential information with discretion.
