
Facilities Coordinator

We are seeking a highly skilled and experienced Facilities Coordinator to join our team. As a Facilities Coordinator, you will be responsible for providing assistance to the Facility Management team in completing multiple functions of building operations and maintenance.
">- Oversee and coordinate maintenance/repair work assignments performed by technicians, vendors, and contractors performing building maintenance, landscaping, and janitorial work.
- Manage soft service operations and staff – provide instruction and manage day-to-day responsibilities.
- Respond to client inquiries and complaints, ensuring timely and quality service delivery.
- Follow up with clients to ensure customer satisfaction.
- Perform facilities inspections and prepare reports.
- Coordinate and manage move, add, and change activities.
- Assist in preparing operating budgets.
- Lead tasks assigned to assistants, get them completed, and report back with progress updates.
- Manage vendor relationships and train vendors on work order and billing procedures. Process invoices and ensure proper cost center coding.
- Review periodic reports, including financials, and explain variances. Work with the finance team to correct errors.
- Formal supervisory responsibilities for the soft service team.
- Coordinate work and assign tasks.

Education and Experience- Bachelor's degree in a relevant field.
- Prior experience in facilities management or a related field is preferred.
- Ability to comprehend and interpret instructions, short correspondence, and memos, and ask clarifying questions to ensure understanding.
- Ability to write routine reports and correspondence.
- Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
- Ability to effectively present information to internal departments and/or large groups of employees.
- Basic knowledge of financial terms and principles.
- Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Basic analytical skills required.
- Intermediate skills with Microsoft Office Suite and intranet/internet. Ability to use work order system.
Key Responsibilities:
- Provide administrative support to the facility management team.
- Ensure smooth operation of soft services, including maintenance and repairs.
- Develop and maintain strong relationships with vendors and stakeholders.
- Bachelor's degree in a relevant field.
- Prior experience in facilities management or a related field is preferred.
- Excellent communication and organizational skills.
- Able to work independently with minimal supervision.
- Strong problem-solving and analytical skills.
