Job Summary:

The Admin & Finance Officer will be responsible for managing financial operations and providing administrative support to ensure the smooth implementation of emergency and recovery interventions. The officer will oversee transparent accounting records, ensure compliance with organizational policies, and facilitate timely financial reporting. Key responsibilities include managing procurement, inventory, and logistics to support emergency response, relief distributions, recovery programs, and community-based initiatives. The role will play an important part in enabling efficient resource utilization and effective delivery of assistance to affected populations.

Job Responsibilities:

Financial Management:

  • Prepare, maintain, and reconcile financial records in line with donor and organizational standards.
  • Monitor budget utilization to ensure expenditures are aligned with approved allocations for emergency and recovery interventions.
  • Process payments to vendors, partners, and staff related to emergency response, recovery activities, and community support initiatives.
  • Prepare timely monthly, quarterly, and annual financial reports for internal and external stakeholders.
  • Ensure proper documentation of expenses related to emergency response, recovery programs, disaster risk reduction initiatives, and community resilience activities.

Administrative Support:

  • Coordinate logistical arrangements for emergency relief distributions, recovery activities, trainings, workshops, and community engagement events.
  • Maintain updated records of staff attendance, travel, procurement, and office supplies.
  • Manage administrative files, including contracts, MoUs, lease agreements, and grant documentation.
  • Oversee procurement processes, ensuring compliance with policies and value for money.

Asset & Inventory Management:

  • Maintain updated inventory records of office assets, emergency kits, WASH items, and other relief supplies distributed through project interventions.
  • Monitor proper usage, safety, and accountability of project assets in operational areas.

Coordination and Communication:

  • Liaise with field teams to gather financial and administrative documentation in a timely manner.
  • Support delivery and implementing partners in financial and administrative documentation related to emergency and recovery activities.
  • Facilitate documentation and logistics for reporting and communication outputs such as case studies, success stories, and field updates.

Job Specifications:

Education & Knowledge:

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field. (Master's preferred)

Work Experience:

  • Minimum 3 years of experience in financial and administrative management, preferably in education or development sector projects.

Skills and Competencies:

  • Good Communication Skills (Written & Verbal).
  • Strong Analytical Skills.
  • Strong reporting & organizational skills.
  • Ability to work independently and within diverse, multi-location teams.
  • Strong ethical standards and high level of integrity.
