Job Description

We are seeking an experienced and highly organized Administrative Support Specialist to join our team at XAD Technologies. The successful candidate will provide administrative support to the Management and Project Core Team, ensuring the smooth operation of our projects.

Responsibilities:
  • Provide administrative support to the Project Core Team and Management, including organizing meetings, arranging travel, and maintaining office requirements.
  • Promote a project governance matrix detailing regular meetings and reviews for the Project Core Team.
  • Maintain and update company databases, controlling communication of incoming and outgoing correspondence.
  • Prepare regular reports on expenses and office budgets, supporting the Finance department with chamber letters and visa-related documents.
  • Manage leave records, timesheets, and attendance registers, ensuring accurate documentation and circulation.
  • Purchase materials, groceries, and cleaning supplies, scanning documents, cash advance requests, travel expense claims, and medical claims.
  • Perform other assignments from the Line Manager/Management as required.
Requirements:
  • Degree in Business Administration or related field.
  • Minimum 2 years' experience in administrative roles.
  • Excellent organizational, communication, and time management skills.
  • Ability to work independently and collaboratively in a team environment.
